Privacy & Cookie Policy

Last updated: 4 November 2026

This policy explains what personal information we collect through this website and when you take part in the conference, why we collect it, how long we keep it, who helps us handle it, and the choices and rights you have.

The website and the conference are run by Reconnaissance International Ltd, a company registered in England and Wales, which publishes business intelligence and organises events for the authentication, security printing and currency industries. Where an event is organised on behalf of, or in partnership with, another organisation, this website says so. For the information described here, Reconnaissance International is the controller: “we”, “us” and “our” below.

We handle your information under the UK General Data Protection Regulation and the Data Protection Act 2018 and, for people in the European Union, the EU General Data Protection Regulation.

What we collect and why

When you send us a form

  • Contact and sponsorship enquiries: your name, organisation, email address and message, so that the right person in our team can reply. We rely on our legitimate interest in answering the questions people send us.
  • Register your interest: your name, organisation, email address and the topics you choose. We first email you a link to confirm the address; only once you confirm are you added to our contact database, to receive news about the conference (the programme, when registration opens, deadlines). This is based on your consent, which you can withdraw at any time with the unsubscribe link in any email or by contacting us. Sign-ups that are never confirmed are deleted after 30 days.
  • Call for papers and award nominations: your name, job title, organisation and email address, your abstract or nomination and any files you attach, so that the programme committee or the judges can consider them and we can reply. Files are stored privately and can only be opened by our staff. We rely on our legitimate interest in building the conference programme and running the awards.

We send you an email to confirm what you sent, and the people in our team who deal with it receive a copy. We keep what you send through the website’s forms for 24 months, then delete it, together with any files. If you become a speaker, delegate or sponsor, what we need for that is kept as described below.

When you register for the conference

Registration and payment, whether by card or by invoice and bank transfer, are handled through Cvent’s registration pages, which this website links to. Cvent collects your registration details on our behalf, so that we can confirm your place, invoice you, prepare your badge and organise the event; this is necessary for the contract between us. The registration pages explain what they collect and how payment is processed, and whether and how your details are shared with the conference’s sponsors and exhibitors, asking for your agreement where needed.

This website never lists individual delegates. Where it shows who attended, it lists organisations only.

When you speak, sit on a committee or win an award

We publish your name, job title and organisation and, where you provide them, your photograph and biography, in the programme and on the pages about the conference. They stay on the pages about past editions as the record of the event. We also share speakers’ details with Cvent, for the event’s registration and app. You can ask us at any time to correct or update them, or to remove your photograph and biography.

At the event

Photographs and video are taken at the conference and may be published on this website and in our communications about the event. If you would rather not appear, tell the photographer or our team at the event, or contact us later and we will remove a picture of you.

Business contacts

We may send occasional emails about our conferences and publications to people who work in the industries we cover, for example past delegates, speakers and sponsors. We rely on our legitimate interest in keeping our industry informed. Every email has an unsubscribe link, and we stop as soon as you ask.

When you visit the website

Like any website, our servers receive technical information with each visit (your IP address, browser and the pages requested), which is used to deliver the pages, keep the site secure and fix problems, and kept only for a limited period. Analytics are described under Cookies below, and are used only if you accept them.

Cookies

Cookies are small files a website stores in your browser. This website uses as few as possible, and none for advertising.

Necessary (always on)

  • csrftoken: protects the website’s forms against misuse. Kept for one year.
  • sessionid: only set if you enter the password of a protected page (for example, presentations reserved for delegates), so that you don’t need to enter it again. Kept for two weeks.
  • cookie-consent: remembers whether you accepted or refused analytics cookies. It is kept in your browser’s storage, not sent to us, until you clear it.

Analytics (only if you accept)

Where this website uses Google Analytics, a banner asks you first. Only if you accept does Google Analytics set its cookies (_ga and _ga_ followed by an identifier, kept for up to two years) to count visits and see which pages are used, which helps us improve the site. We see statistics, not individuals, and advertising features are switched off. If you refuse, no analytics cookies are set; Google may still receive a basic signal that a page was viewed, without any identifier stored on your device. You can change your choice at any time with Cookie settings at the foot of every page.

Other services in the pages

  • Spam protection: the forms use Cloudflare Turnstile, which checks your browser for signs of automated use when you send a form. Cloudflare processes technical information about your browser and connection for this check only.
  • Videos: videos from YouTube and Vimeo are shown in their privacy-enhanced modes, without tracking cookies. When a page with a video opens, the player is loaded from their servers, which receive your IP address; if you play the video, they may store information in your browser under their own policies.
  • Links to other websites, such as registration, maps or our sponsors’ sites, are covered by those websites’ own policies.

You can also block or delete cookies in your browser’s settings; the website still works without analytics cookies.

Who helps us handle your information

We do not sell your personal information. We use these service providers, who handle it only on our instructions and under contracts that protect it:

  • Railway: hosts the website and its database, on servers in the Netherlands.
  • Amazon Web Services: stores files (images, documents, files sent with forms) in Germany and sends the website’s emails from Ireland.
  • Cloudflare: spam protection for the forms.
  • Google: website analytics, only if you accept them.
  • Cvent: registration, payment and speaker management.
  • Our contact database, which holds the details of people who have registered their interest or are our business contacts.

Some of these providers, or their support teams, are outside the UK and the European Economic Area, in particular in the United States. Where your information is transferred there, it is protected by the safeguards data protection law requires, such as the UK–US Data Bridge, the EU–US Data Privacy Framework or standard contractual clauses approved by the UK and EU authorities.

We may also disclose information where the law requires it, or to protect our rights or someone’s safety.

Your rights

You can ask us:

  • for a copy of the personal information we hold about you;
  • to correct it, or to delete it;
  • to restrict how we use it, or object to our using it, including at any time to direct marketing;
  • to send information you gave us to you or to another organisation in a common format;
  • to withdraw your consent, where we rely on it (this does not affect what we did before).

We reply within one month. We may need to confirm who you are first. There is no charge.

If you are unhappy with how we have handled your information, please tell us first so that we can put it right. You can also complain to the Information Commissioner’s Office (ico.org.uk), or to the data protection authority where you live or work.

Changes and contacting us

We update this policy when what we do changes; the date at the top shows the latest version.

For any question about your information, or to use your rights, write to the conference team with the contact form at the foot of this page, or at the address and email shown there.
